Payroll Functions:
- Verify and adjust employee time data in ExakTime daily to ensure all hours are accurate.
- Verify that each employee is clocked into the correct jobsite and job number in ExakTime daily.
- Set up new jobsites in ExakTime and iSolved using accurate information from Sage.
- Establish and maintain proper geofences in ExakTime. Coordinate with Supervisors to verify the appropriate radius and ensure employees can properly clock in and out.
- Enter sick, vacation, holiday, and other approved time into ExakTime as appropriate.
- Verify sick and vacation balances in iSolved for all employees and maintain accurate weekly attendance and sick/vacation records.
- Ensure all employees are properly set up in Sage, ExakTime, and iSolved during onboarding. All employee information must be complete, accurate, and consistent across each system.
- Verify employee benefit elections and eligibility.
- Confirm that all required deductions, including health insurance, 401(k), and other authorized deductions, are accurately processed.
- Enter sick and vacation time into the iSolved time portal to ensure accurate tracking and reporting.
- Enter manual timesheets into ExakTime when necessary and verify the accuracy of all manually entered time.
- Prepare and print the Executive Summary for CFO and Controller review, including all supporting documentation for sick, vacation, and holiday pay.
- Transfer all approved time from ExakTime to iSolved for payroll processing.
- Review all transferred time in iSolved and make any necessary corrections or adjustments prior to payroll submission.
- Review each employee’s payroll check for accuracy, including regular hours, overtime, sick/vacation/holiday hours, and all applicable deductions.
- Coordinate and maintain accurate time transfers between ExakTime, Sage, and iSolved.
- Review monthly health, dental, and vision insurance invoices against active employee records to ensure billing accuracy.
- Properly process employee terminations and resignations in ExakTime, iSolved, and Sage upon notification.
- Ensure employees follow all Company policies and procedures regarding call-outs, attendance, vacation requests, and other time-off requirements.
- Apply and enforce Company policies and procedures related to paid sick time, vacation time, holiday pay, attendance, and other time-off benefits.
- Assist Human Resources with employee onboarding and related administrative tasks as needed.
- Prepare and present labor, attendance, and job location reports for the Finance Manager.
- Perform other payroll, timekeeping, reporting, and administrative duties as assigned by the Finance Manager or CFO.
Required Education and Experience
- Experience with payroll systems such as Isolved, ADP, or similar.
- Strong organizational skills, including multitasking and time-management.
- Excellent written and verbal communication skills.
- Strong interpersonal skills; capable of working independently and collaboratively.
- Enthusiastic about learning and advancing within the company.
- High attention to detail and quick retention of new information.
- Proficient in Microsoft Office Suite.
- Punctual and dependable.
Preferred Education and Experience
- Associate’s degree in accounting, or one year of payroll, or an equivalent combination of education and experience.
- Bilingual in Spanish or Portuguese.
