What You’ll Do
- Support Human Resources to ensure compliance with all City, State, and Federal regulations
- Review and manage employee files to ensure all documentation is complete and accurate
- Stay updated on I9 law and regulatory changes and ensure proper documentation
- Monitor and Maintain the company's performance management system
- Ensure that all Insurance Certificates are sent to clients and government entities as required
- Track and manage license renewals for NYC, Westchester, and NJ, initiating processes 60 days prior to expiration
- Audit job folders for required documents such as signed contracts, COIs, and OCIP docs (if applicable)
- Work with senior leadership to ensure company policies and the employee handbook are up-to-date and compliant
- Maintain compliance signage for DOL, City, State, and Federal requirements
- Meet weekly with finance to ensure tasks and compliance goals are on track Verify COIs from subcontractors and ensure they are current before payments are issued
- Audit OSHA 300 logs and ensure accurate tracking of safety meeting documentation
- Monitor toolbox talks and safety meetings, ensuring they are being conducted and logged properly
- Research and develop policies for unfamiliar compliance issues to ensure the company’s adherence to all regulations
- Implement internal checks and balances to streamline processes and prevent compliance issues
- Perform random audits to ensure ongoing compliance across departments
- Document and track incidents to ensure timely follow-up by Human Resources and management
- Build strong relationships with all departments to support the company’s compliance goals and cost improvement initiatives
What You Bring
- Associate’s or Bachelor’s Degree in Business Administration, Public Administration, Risk Management, Pre-Law, or a related field
- Proficiency in Microsoft Office Suite
- Strong organizational skills and the ability to manage multiple tasks and deadlines
- Excellent written and verbal communication skills
- Strong interpersonal skills with the ability to work independently and as part of a team
- Enthusiastic and eager to learn and grow within the company
- High attention to detail and ability to retain new information quickly
- Punctual, dependable, and committed to compliance excellence
