Summary 
The Compliance Manager must perform several tasks in supporting all Departments and Operations of the company. The Compliance Manager must have strong organizational, written and verbal communication skills. The Compliance Manager will be working with upper management to ensure all policies and procedures of the Company are being followed and maintained daily. 

Essential Functions
  • Support Human Resources to ensure proper compliance with all City, State and Federal Regulations.
  • Review all employee files to ensure all documents are properly completed, signed and dated.
  • Ensure I9 forms are properly completed and saved separately.
  • Stay updated on all I9 changes in laws and regulations.
  • Ensure all Insurance Certificates are sent to all customers and the City and State (where necessary for licensing)
  • Track renewal of licenses (NYC, Westchester and NJ) – All licensing processes must begin 60 days prior to license expiration
  • Make sure all applications for licensing are sent and properly completed-follow up with the City or State regarding renewal.
  • Audit job folders to ensure signed contract, COI and OCIP docs (if necessary are in there)
  • Review handbook with Joann Haddad and outside counsel to ensure compliance with all laws, regulations and company policies are updated and current
  • Ensure we have proper signage up for DOL as well as City, State and Federal compliance.
  • Review Finance folders to ensure monthly reconciliations are done and complete
  • Meet with finance weekly to ensure goals and tasks are being met
  • Ensure we have proper COI’s from all subcontractors and they are current before payment is issued.
  • Request COI’s from subcontractors, suppliers and/or customers as necessary
  • Audit and ensure compliance with OSHA 300 logs
  • Obtain and track all weekly toolbox talks and safety meetings. This includes keeping a copy of the sign in log as well as a copy of any material that was given to the employee or discussedIf these are not being done by supervisors or foreman management must be notified
  • Research any compliance issues we are unfamiliar with in order to develop policies and procedures for the company.
  • Develop and implement and internal checks and balances policy for the above so that the process is streamlined and we can identify potential weaknesses and issues before they become a larger problem.
  • Ensure all departments are following and complying with their tasks daily, weekly and monthly.
  • Conduct random audits on different areas to ensure compliance. 
  • Ensure any incidents are properly documented and reported
  • Ensure Human Resources is following up on all incidents and with the employee
  • Any incidents reported to our carrier must be monitored and tracked
  • Establish a strong working relationship with all managers to coordinate company objectives while assisting in cost improvement initiatives.
  • Other duties as assigned by President and CFO.

Required Education and Experience
  • Associates Degree or Bachelors Degree in Compliance or a related field.
  • Proficient in Microsoft Office Suite.
  • Strong organizational skills, including multitasking and time-management.
  • Excellent written and verbal communication skills.
  • Strong interpersonal skills; capable of working independently and collaboratively.
  • Enthusiastic about learning and advancing within the company.
  • High attention to detail and quick retention of new information.
  • Good sense of urgency.
  • Punctual and dependable.
