Summary: Haddad Plumbing and Heating Inc. is seeking a Payroll Clerk to join our Finance team. The Payroll Clerk will work closely with the Finance Manager, CFO, Human Resources, and supervisors to ensure the accurate and timely processing of employee payroll and timekeeping information. Responsibilities:
Processing weekly payroll for salaried, hourly, and field employees using iSolve and Sage, accurately tracking hours, prevailing wages, and overtime adjustments.
Reviewing, importing, and verifying digital timecards generated by field personnel through ExakTime to ensure accurate clock-ins and labor allocations.
Administering corporate benefits programs, including health, dental, vision insurance, and the company 401(k) match plan.
Managing the employee offboarding process, including final paycheck processing and benefit terminations (COBRA administration).
Ensuring strict New Jersey separation compliance, including the timely preparation and distribution of Form BC-10 (Instructions for Claiming Unemployment Benefits) to departing employees.
Serving as the primary point of contact for employees regarding payroll questions, benefit enrollment, deductions, and claims assistance.
Managing new hire onboarding paperwork, tracking benefit eligibility dates, and coordinating annual open enrollment windows.
Maintaining strict compliance with federal, state, and local payroll/benefit regulations (including ACA, COBRA, and tax withholdings).
Collaborating with senior management and accounting to generate monthly payroll reporting and reconciliation.
What We Are Looking For:
Bilingual Capability: Spanish speaking ability is strongly preferred to effectively communicate benefits packages and answer payroll questions for our diverse field and warehouse teams.
Software Proficiency: Hands-on experience with iSolve, ExakTime, and Sage is highly preferred. Strong proficiency in Microsoft Excel is required.
Experience: Minimum 2–3 years of dedicated experience managing payroll, field time-tracking tracking data, benefits processing, and employee offboarding workflows—including knowledge of New Jersey state compliance (such as BC-10 requirements). Experience in a commercial construction, trade, or logistics company is a major plus.
Communication: Strong English communication skills (written and spoken) to assist employees with complex benefit structures and resolve payment questions professionally.
Detail-Oriented: Exceptional organizational skills with an absolute commitment to data accuracy, numerical verification, and strict employee confidentiality.
Location Fit: Ability to work full-time, on-site at our Newark, NJ headquarters Monday through Friday.
